Exhibitor Move-In Schedule
ALL BOOTHS MUST BE OCCUPIED AND COMPLETELY SET UP BY 5:00PM ON MONDAY, JANUARY 23, 2023. Exceptions will be granted providing advance notification is sent to KimDiCianni@ipc.org. If notification of late move-in is not submitted in advance of move-in and space is not completely set by 5:00pm on Monday, January 23, 2023, the space will be considered abandoned, and Show Management will repurpose the space as they see fit.
Exhibitor Targeted Move-in Schedule
A targeted move-in means each exhibitor is assigned a specific move-in date and time in which their shipments can arrive. Due to the high volume of exhibitor freight for this event, we use this systematic process for the receipt of freight and delivery to booths which is based on when IPC obtain access to the exhibit halls, the location of booths in the exhibit hall and on specific exhibitor needs. A scheduled target time means that your freight will begin to be unloaded at some point during your allotted time frame. The target move-in plan is available in the exhibitor service manual and on the APEX EXPO event website.
Tips for Managing your Targeted Move-in
- The best way to ensure your freight will be delivered to your booth during your scheduled time is to ship your freight to the Advance Warehouse.
- Machinery, uncrated items, oversized crates, and single pieces over the weight of 5,000 lbs. cannot be accepted at the advance warehouse and should be shipped directly to show site.
- All trucks delivering shipments to show site must arrive at the marshaling yard 2 hours prior to the start of the target time. Trucks missing their target time will be unloaded on a first come, first serve basis after all the trucks have unloaded during the allotted target time
- Do not schedule installation labor until after your scheduled target time.
Target Change Requests
If you would like to request a change in your assigned target date/time, please complete the target change request form located in the exhibitor service manual by Monday, December 12, 2022.
- Completion of this form does not automatically guarantee approval of request.
- Shepard will attempt to honor all requests but may not be able to authorize a change in target time due to logistical considerations, booth locations, dock availability and labor demands.
- All requests will be reviewed and responded to by Monday, December 12, 2022

- Order Services Early
Be sure to order all of your show services by the advance deadlines to receive discounted pricing. These discounts can add up to a significant savings on your overall budget.
- Special Material Handling Rates for Machinery
Due to amount of capital equipment on display at IPC APEX EXPO, we have partnered with Shepard Exposition Services to offer a significant material handling discount for machinery. In order to take advantage of this discount, be sure you do the following:
- Make sure machinery crates and/or skids a labeled with designated machinery label
- Use the special machinery material handling form
- Provide a copy of a certified weight ticket for your entire shipment
- Ensure your shipment arrives per your target move assigned time slot
- Review the machinery rate form in the exhibitor manual for additional details
- Be sure Your Shipment Arrives on Time!

Trucks missing their target time will be unloaded on a first come, first serve basis after all the trucks have unloaded during the allotted target time and a surcharge will apply.
- Wait Time Charges
Most transportation carriers include a minimal wait time in their fee but after the free time expires, they will begin charging for additional wait time on a prorated hourly rate. It is important to verify how many hours of wait time are provided since wait time is calculated from the time a carrier checks in at the marshalling yard up until the truck is loaded/unloaded so this applies to both move-in and move-out.
Exhibitor Registration
Registration for exhibitor booth personnel/booth staff badges is live. To avoid long lines onsite, we highly recommend registering all booth staff in advance of arriving at IPC APEX EXPO. Please refrain from registering customers and/or Exhibitor Appointed Contractors (EACs) as booth personnel.

Complimentary IPC APEX EXPO Technical Conference Registration
Each exhibitor is provided with one complimentary conference registration to attend the IPC APEX EXPO Technical Conference. You can use this registration for an employee of your company, or you have the option to give it to one of your very important customers. Details on how to register for the complimentary technical conference registration are available on the exhibitor registration page.
Display Regulations
As you begin your booth design for IPC APEX EXPO, please be sure to review the display regulations specific to your booth type. Also, if using an exhibit house, please share this information with them to ensure your booth is compliant. Variances to the display regulations will not be granted for any booth, regardless of circumstances.
